About Spark  

Spark is a consultancy dedicated to providing high-quality (cross-border) research, analysis and advisory services in a wide range of EU and national law and policy areas (e.g., Energy, Health, Justice and Home Affairs, Competition). With a growing team of over 25 legal and policy consultants, representing more than 10 European nationalities, we are looking for an Administrative Officer to join our team part-time or full time, as soon as possible. Freelance applicants are also welcome.

What you will do 

As an Administrative Officer, you will be the backbone of our office operations, ensuring a well-organised, efficient and welcoming environment for the team. Your responsibilities will include: 

  • Managing day-to-day office operations: Oversee correspondence, maintain databases, organise filing systems, and ensure office supplies and equipment are well-stocked and functional.
  • Acting as the first point of contact for internal and external queries, ensuring smooth communication and a professional image of the organisation.
  • Coordinating office logistics: Arrange meeting rooms, manage calendars for shared spaces, and support travel and event arrangements when needed.
  • Maintaining and updating administrative protocols and internal templates to ensure consistency and compliance.
  • Supporting HR processes: Assist with recruitment coordination, onboarding of new employees, etc.
  • Providing administrative support for tenders and projects, including preparing documentation and ensuring compliance with requirements.
  • Contributing to a positive workplace culture by fostering an organised, friendly and collaborative environment.

  • Comfortable with digital tools for managing documentation, calendars and workflows

Your profile
We are looking for candidates who meet the following criteria:

  • At least a master’s degree in private or business law (previous internship or work experience in the private sector is an asset)
  • Excellent research, analytical, and problem-solving skills
  • Entrepreneurial mindset, flexibility, and willingness to take initiative
  • Strong communication skills and ability to engage with clients and stakeholders
  • Ability to work both independently and collaboratively in a fast-paced environment
  • English language proficiency (other languages are a plus)
