Operations & IT assistant (part-time)

Spark Legal and Policy Consulting is looking for an Operations & IT Assistant to join our team part-time, to support operations management and the IT help-desk and take part in the development of future IT and automation processes. The successful candidate will be based in our Brussels office.

The opportunity:

Spark is a consultancy dedicated to providing high quality (cross-border) research, analysis and advisory services in a wide range of EU and national law and policy areas (e.g., Energy, Health, Justice and Home Affairs, Competition). With a growing team of over 25 legal and policy consultants, covering more than 10 different European nationalities, we are looking for a part-time Operations & IT assistant to strengthen our team and support our Director of Operations, as from September 2025. The working scheme will correspond to at least 2 days/week and will be further discussed with the successful candidate. Work-study/apprenticeship arrangements are accepted.

What you will do:                    

Your key responsibilities will entail:

  • Oversee the daily management of operations systems and coordinate with team members to maintain smooth workflows.
  • Ensure regular updates on internal workflows, protocols and templates.
  • Coordinate IT support by addressing technical issues, proposing solutions, and liaising with our external IT experts where necessary.
  • Implement and monitor IT Security Policies.
  • Support the evolution of digital processes by identifying, researching and testing new tools and technologies to support automation, compliance and operational efficiency.
  • Organise and deliver staff training regarding the use of internal protocols, digital tools and AI applications.
  • Provide support across a range of operational processes as needed.

What makes you a good fit:

  • Experience in managing digital operations systems, maintaining documentation and templates, and supporting the setup and evolution of internal workflows.
  • Ability to troubleshoot technical issues, and manage basic cybersecurity tasks.
  • Proficiency in identifying, testing, and implementing new software tools to improve operational efficiency, especially those related to automation, AI, and compliance.
  • A positive, pro-active attitude and eagerness to learn new skills quickly and take on responsibilities.
  • Good communication skills, with the willingness to help the team.
  • Highly organised and adaptable, with the ability to work on a broad range of tasks and coordinate multiple priorities.
  • Fluent in English (spoken and written).

Business Operations Officer

Location: Brussels, Belgium

What you will do 

As a Business Operations Officer, you will play a key role in ensuring the smooth running of our administrative and operational processes. Your responsibilities will include: 

  • Overseeing the implementation of administrative protocols and managing daily operations systems 
  • Liaising with project managers to ensure financial and administrative processes are followed 
  • Working across departments to connect day-to-day tasks and initiatives, analyzing data to spot inefficiencies, and proposing practical solutions to streamline processes, improve workflows, and support teams in achieving their goals 
  • Coordinating with team members to maintain and update internal workflows, protocols, and templates 
  • Managing the administrative aspects of Spark tenders, including documentation and supporting evidence 
  • Assisting with HR tasks such as recruitment, employee onboarding, and communication with the payroll company 
  • Ensuring the smooth running of daily office operations (including correspondence, database updates, file and supply management) while proactively fostering an organised, welcoming, and positive workplace environment

This is a 6-month traineeship, offering you a chance to gain hands-on experience in legal and policy fields while working in an international and dynamic environment.
